We are seeking a highly skilled Client Service Manager to join our Luxembourg team and support the department responsible for Client Service Management for our international client base.

Key Responsibilities

  • Proactively manage a portfolio of clients, coordinating the daily activities of the funds under management.
  • Serve as the primary point of contact for clients, addressing day-to-day queries and ensuring timely resolution.
  • Organize and lead AIFM service review meetings to maintain strong client relationships.
  • Establish and maintain excellent relationships with fund delegates, including portfolio managers, investment advisors, administrators, and depositaries, and participate in service quality calls.
  • Ensure compliance with internal and external processes and regulatory requirements.
  • Maintain the fund corporate calendar and monitor adherence to deadlines.
  • Update internal databases with accurate client information by liaising with relevant internal teams.
  • Ensure all funds have up-to-date policies and procedures reflecting regulatory developments and Board requirements.
  • Prepare and coordinate the review of Operating Memorandums and other key documentation.
  • Liaise with internal teams to ensure proper documentation and compliance, including AML forms, UBO forms, and fund-related reports.
  • Review and manage investor subscription documents and side letters, ensuring proper filing and compliance.
  • Coordinate Board meeting agendas and prepare relevant reports where acting as corporate secretary.
  • Present AIFM reports during Board meetings and oversee financial and long-form reporting.
  • Prepare reports for Senior Management Committees and Board of Directors.
  • Develop presentation materials for client visits and meetings.
  • Calculate and review client fees, issue invoices, and manage timely payments.
  • Identify opportunities to strengthen client relationships and support ad hoc projects.

Skills and Qualifications

  • Academic degree, preferably in Finance or Economics.
  • Minimum of 5 years’ experience in the fund industry.
  • Strong knowledge of alternative investment funds and asset classes (e.g., real estate, private equity).
  • Excellent commercial awareness, analytical ability, and communication skills.
  • Proficiency in MS Office applications.
  • Fluency in English, with outstanding written and verbal communication skills.
