Job Title: Manager of Fund Administration
Location: Dalian
Description
The Manager of Fund Administration will be responsible for leading the Dalian Japan Closed-ended Fund Administration team, which is dedicated to providing Fund administration services to Japan client. This role requires strong leadership to manage a bilingual/trilingual team, deep familiarity with Japanese business practices, a solid understanding of Japanese Finance and accounting regulation and practice, experience in Fund/SPC finance industry is highly preferred. The successful candidate will ensure service delivery meets the quality and timeliness standards required by the Japan Head Office and regulatory bodies.
Service Delivery & Quality Control (80%)
- Japan Closed-ended Fund Admin operation: Coordinate with Shanghai operation team Japan onsite team to complete the business migration to Dalian on schedule, ensure Dalian team start to deliver the services on time and with high quality.
- Japan Closed-ended Fund Admin operation: Set up operation team and lead the members to learn and take over the Fund Admin tasks from Shanghai operation team or Japan onsite team. Monitor the training schedule, quality and ensure the knowledge is well documented.
- Japan Closed-ended Fund Admin operation: Help and support members learn fund accounting related professional knowledge, solve knowledge gap problems.
- Japan Closed-ended Fund Admin operation: Be the contact point for Dalian team during migration and routine operation.
- Operational Management: Manage the team's operations, ensuring efficient utilization of resources and meeting Service Level Agreements (SLAs).
- Process Optimization: Drive efficiency and quality improvements by optimizing outsourcing processes, standardizing workflows, and leveraging technology to support the Japan operations.
- Internal Controls: Ensure the team's processes adhere to internal control requirements and manage documentation.
Leadership & Management (20%)
- Team Leadership: Lead and develop a team of Japan Closed-end Fund administration professionals in Dalian, ensuring high engagement, technical proficiency, and cultural alignment with the Japanese team.
- Stakeholder Management: Act as the primary escalation point and interface between the Dalian service delivery team and the Japan client and Apex Japan team. Conduct regular service review meetings and manage expectations.
Qualifications and Experience
- Education: Bachelor's degree or higher in Finance, Accounting or a related discipline.
- Experience: Minimum of 10 years of relevant experience in Japanese accounting operation or fund admin operation, with at least 5 years in a managerial role leading a team in a BPO or SSC environment.
- Language Proficiency: Business-level fluency in Japanese (both written and spoken) is mandatory for communication with the Japan client. Professional working proficiency in English is also preferred.
- Technical Foundation: Solid understanding of Japanese finance and accounting operations, familiar with both JGAAP and IFRS, fund admin/fund accounting experience is highly preferred.

- Trilingual & Cross-Cultural Communication: Exceptional ability to communicate technical subjects clearly across language (Japanese/Chinese/English) and cultural boundaries.
- Service & Quality Focus: Dedicated to providing a high-quality, customer-focused service that aligns with the stringent standards of the Japanese corporate environment.
- Process Excellence: Proven ability to analyse, document, and streamline complex transactional processes in an outsourcing model.
- Self-driven, detail oriented, be of high responsibility and good communication skills.
- Qualified CPA/ACCA or participator is a plus.
