The Role & Key Responsibilities:
Be the first point of contact for clients, suppliers and employees;
Answering, filtering and dispatching of incoming calls, taking and relaying messages;
Handling of incoming, outgoing mails: sorting, scanning, dispatching, and tracking;
Handling of physical filing, archiving, destruction;
Handling copy during onboarding/offboarding;
Helping to maintain internal database updated;
Organizing and book travel arrangements for Directors;
Making hotel, restaurant and taxi bookings for clients;
Managing the meeting room schedule and ordering any catering facilities where necessary;
Ensuring that meeting rooms and common areas are cleaned and fully supplied.
Skills Required:
Having at least 2 years of relevant professional experience in a similar position;
Having good written and oral communication skills;
Being a team-player and being conscientious, flexible, willing to work;
Having a high level of integrity, tact and discretion are required;
Proficiency in MS Office;
Being fluent in English, French will be considered an asset.
