The Transfer Agency AVP is responsible for overseeing day to day operations.
This includes checking responsibilities for transactions and payments, liaising with investors, clients and internally, oversight of key control functions, project management, point of escalation for team members, people management and change management.
The AVP must enforce Internal Transfer Agency procedures in addition to both internal and Regulatory requirements at all times
Responsibilities/Tasks:
Accountable for the operational functions; staff management, development of the team and change management
Responsible for all aspects of investor transaction processing, reporting and dealing with ad hoc client requests
To manage operational processes and deliveries for allocated clients from pre-launch to liquidation
Ensure team operates within a clearly defined, documented and tested control environment
Establish and maintain effective working relationships internally and externally
Identify areas for improvement in processes, personnel, structure and discuss with your VP
Manage multiple client relationships ensuring constant liaison with both the client and the relevant RM and TA VP ensuring consistency and clarity of service
Ensuring that all AML and FATCA /CRS requirements are adhered to
Foster an environment where procedures, policies and processes are adhered to and procedural changes are introduced to enhance the ongoing performance of the team and dept
Actively participate in planning Key Performance Indicators for the team
To manage and contribute to the appraisal process and staff development
Project managing projects as directed by senior management – providing weekly updates at a minimum and as often as required by VP
Oversight of board pack preparation and QA review in addition to attending / dialling into board meetings
Being involved in Ad hoc User Acceptance Testing (UAT) as necessary in the implementation of new projects, systems and system enhancements
Coordinating new client on-boarding in partnership with GTB Integration Team
Completion of accurate capacity analysis
Driving a solution focussed team and encouraging a positive working environment
Exercise operational oversight within the team and make sound operational decisions
Create an environment that is flexible and adaptable and be a champion of change
Initiate and oversee tasks within a continuous improvement drive to ensure that the organisation is efficient and seen as client and quality driven
Ability to effectively work with all levels within the organisation

A very strong understanding of fund legal structures and the fund administration business

Strong Shareholder Services experience with offshore & onshore & PE funds
Strong client relationship skills
Proven record in dealing with AML / KYC/ FATCA / CRS
A detailed understanding of fund structures and the fund administration business
Strong analytical and problem solving skills
Ability to work effectively both within a team structure and individually
Strong interpersonal skills
Strong systems, product and process knowledge
Reliable and dependable
Be approachable by all levels at all times
Act as a role model for Apex
Demonstrate leadership skills
Ability to appropriately handle complex queries and cases
