About the Hiring Team:
We are looking for a Project Analyst to join our Change Management team, reporting into the PMO Manager.
The role will support the successful operation of global PMO enablement by providing strong project and portfolio-level support across governance, reporting, planning, RAID management and delivery controls. The Project Analyst will work closely with Project Managers, Programme Managers, Portfolio Leads and the wider PMO team to ensure change activity is supported by accurate information, clear reporting and effective coordination.
The role is also responsible for helping maintain an accurate view of change activity across the organisation, including project status, milestones, risks, issues, dependencies, actions and demand. This role will support the production of management information, governance materials and portfolio reporting, helping to improve visibility, control and consistency across the global change portfolio.
Global PMO enablement is a critical part of the Apex operating model, supporting successful delivery through governance, reporting, planning discipline, RAID management, financial tracking, resource visibility and demand management. The Project Analyst plays an important role in ensuring these activities are carried out to a high standard and in line with the Apex operating model.
Key duties and responsibilities
- Support the delivery of PMO services across the global change portfolio, ensuring a consistent and high-quality approach to governance, reporting and control.
- Support Project Managers and Programme Managers with the maintenance of project plans, milestones, RAID logs, actions, dependencies and status reporting.
- Prepare accurate and timely reporting for projects, programmes and portfolio governance forums.
- Assist in maintaining a consolidated view of approved change activity across the organisation, including status, progress, milestones, risks, issues and dependencies.
- Support the production of management information to enable effective governance, prioritisation and decision-making.
- Track and follow up on key actions, risks, issues and dependencies, ensuring information is kept current and complete.
- Support the preparation of governance packs, meeting materials, minutes and follow-up actions for SteerCos and other change forums.
- Maintain project documentation and ensure agreed standards, templates and controls are followed consistently across the portfolio.
- Support financial tracking activities where required, including budget updates, forecasts, actuals and change impacts.
- Support the maintenance of resource and demand information, helping to improve visibility of allocations, utilisation and incoming change.
- Use Azure DevOps to support tracking, reporting and visibility of change activity, ensuring information is accurate and up to date.
- Work closely with stakeholders across Change, Technology, Operations and the Business to gather information, resolve queries and support delivery transparency.
- Identify gaps, inconsistencies or emerging concerns in project information and escalate appropriately.
- Support continuous improvement in PMO processes, reporting and controls to improve efficiency, transparency and consistency across the function.
- Actively participate in lessons learned and process improvement activity to help strengthen project delivery practices.
Experience and skills:
- Experience working in a PMO, project support, project analyst or similar role within a change environment.
- Good understanding of core project delivery disciplines, including planning, reporting, RAID management, dependency tracking and governance support.
- Experience supporting projects and programmes across technology and/or business change initiatives.
- Experience producing accurate reporting and management information for stakeholders and governance forums.
- Strong organisational skills and attention to detail.
- Ability to manage multiple priorities and work in a structured way in a fast-paced environment.
- Strong written and verbal communication skills.
- Strong analytical skills, with the ability to interpret and present delivery information clearly.
- Comfortable working with Project Managers, Programme Managers and senior stakeholders across multiple teams.
- Proactive and delivery-focused, with a willingness to take ownership and follow through on actions.
- Good knowledge of Microsoft Excel, PowerPoint and other standard reporting tools.
- Experience of using Azure DevOps for tracking, reporting and supporting project delivery activity.
- Ability to work independently while also contributing effectively as part of a wider PMO and delivery team.
- Fluent in English, both spoken and written.
Nice to have:
- Experience within Financial Services.
- Exposure to the Funds industry.
- Experience supporting portfolio-level reporting and governance.
- Experience supporting demand management, resource tracking or financial tracking activities.
- Familiarity with MS Project, Jira or other project and portfolio management tools.
- Experience working within a global PMO or Project Management Practice model.
