Key Responsibilities
1. Payroll Processing (Core Responsibility)
- Process monthly payroll for all employees with 100% accuracy and within defined timelines.
- Validate attendance, leave, overtime, LOP, shift allowances, and incentive inputs.
- Ensure correct calculation of earnings, deductions, reimbursements, arrears, and final settlements.
- Coordinate with HR, Finance, and Operations to collect and verify all payroll-related inputs.
- Perform pre- and post-payroll audits to identify variances or errors.
- Prepare and release salary slips, payroll registers, and bank upload files.
2. Statutory Compliance (High Emphasis)
- Ensure timely and accurate statutory deductions, filings, and remittances for PF (EPF), ESI, Professional Tax, Labour Welfare Fund, and Income Tax (TDS).
- Generate and submit statutory returns including ECR, ESIC challans, PT returns, etc.
- Maintain compliance with Shops & Establishment Act, Payment of Wages Act, Minimum Wages, Bonus Act, and other applicable labour laws.
- Keep track of changes in statutory regulations and implement necessary updates in payroll systems.
- Support statutory audits, internal audits, and vendor audits by providing required data and clarifications.
3. Employee Data & Records Management
- Maintain accurate employee master data in HRMS/payroll systems.
- Process employee onboarding, exits, and life cycle changes (increments, transfers, promotions).
- Manage documentation for payroll and compliance in an organized and secure manner.
- Handle confidential information with utmost discretion.
4. Query Handling & Stakeholder Support
- Respond to employee payroll queries related to salary, tax, deductions, leave payouts, etc.
- Assist employees with Form 16, investment declarations, and tax-saving documentation.
- Collaborate with HRBP, Finance, and external agencies for smooth payroll operations.
5. Reporting & Analysis
- Prepare monthly payroll MIS reports, variance analysis, and compliance trackers.
- Support finance team with data for budgeting, accruals, and audits.
- Generate ad-hoc payroll reports as required by leadership.
Required Skills & Competencies
- Strong knowledge of payroll processes and statutory compliance in India.
- Experience with payroll softwares and Workday
- Proficiency in MS Excel (VLOOKUP, pivot tables, data validation, etc.).
- High attention to detail, accuracy, and confidentiality.
- Good communication and analytical skills.
- Ability to meet strict timelines and work in a deadline-driven environment.
Education & Experience
- Graduate / Post Graduate in Commerce, HR, Finance, or related field.
- Min. 3-4 years of experience in payroll or HR operations.
- Experience in multi-state compliance.
