Client Associate Director (AD) – Private Clients & Family Office
Role Location: Jersey, Channel Islands
Department: Private Clients & Family Office

Summary of role
The core role of an AD is to:
- Develop client relationships and ensure an excellent quality of service that is consistent and, efficient, as well as diligent ensuring all deliverables, and deadlines are met
- Actively support the Business' organic growth objectives
- Act as an authorised signatory on client committees of relevant Apex Jersey companies
- Meet or exceed key financial and non-financial targets, maximising revenues whilst retaining focus on cost efficiency
- Pro-actively contribute to initiatives to improve processes to drive operational excellence
- Implement a culture of shared knowledge and delegated responsibility within the team
- Ensure that risk management processes are embedded in day to day operations and systems used by the team, driving and exemplifying adherence to agreed policies, procedures and applicable regulation.
Job Specification
Clients
Act as Lead Relationship Director on allocated client portfolio (Your Clients)
Provide technical expertise in respect of client matters (fiduciary, governance, accounting, compliance, tax etc)
Oversee service delivery by administration staff on Your Clients, ensuring regular contact and feedback is received and documented (Client Happiness Tracker, spot surveys) and resolve service issues, where required
Ensure that recordkeeping, including bookkeeping in respect of Your Clients is in good order, accurate and up to date
Develop client relationships so that Your Clients can benefit from AJL’s service offering and the wider Apex Group (across Corporate Solutions, Fund Solutions and Financial Solutions), as appropriate) where relevant
Revenue Growth
In line with strategy and risk appetite, contribute to revenue targets for the department through organic growth, fee increases and product and service development
Work with the Apex Group Sales team to inform in respect of services offered in Jersey and identify new business opportunities
Develop relationships with other Apex Group global businesses to identify new business opportunities
Maintain and develop relationships with relevant intermediary networks to promote the Apex Group brand and identify new business opportunities
Prepare new business proposals and deliver pitches to prospective clients
Participate in RFIs being led by Apex Group on multi jurisdiction/multi pillar new business opportunities
Sign off new business files as per the New Business Policy or escalate new business opportunities to the AJL Risk Committee and/or Apex Group if there are specific risk factors which require focused attention / decision
It being noted that revenue growth must be within AJL’s risk appetite and not contrary to AJL policy(ies)
Financial Management
Manage team members capacity and utilisation and take action where required to ensure effective use of capacity and delivery of client services
Ensure that client invoices for Your Clients are approved and sent to clients within 3 weeks of the start of each calendar quarter and contribute to achieving monthly cash collection targets for the department
Address revenue recoverability issues on a client basis working closely with the AJL commercial manager
1st Line Risk Management
Keep up to date on developments and changes in the regulatory framework, in particular relevant legislative updates, industry updates, JFSC industry feedback and public statements
Ensure that line reports and team operate in accordance with the AJL policy and procedure (P&P) framework
Act as a Risk Owner for nominated risks on the AJL Risk Register
Where requested, contribute to the formulation of relevant new and revised P&Ps in conjunction with the Governance team
Ensure that the AJL 4-eyes policy is operating effectively within team
Undertake relevant technical, industry and regulatory focused training (sufficient to meet regulatory CPD requirements) and ensure that line reports do so
Ensure sound awareness in the team as to the 1st line regulatory responsibility for the prevention, identification and reporting of suspicious activities / financial crime and the systems and controls that AJL has in place to assist and support this
Ensure that breaches, incidents and complaints are reported to Compliance on a timely basis and ensure that actions arising are closed on a timely basis
Together with the relevant client manager and H-CSD, ensure that Key Risk Indicators for the department are effectively managed (including but not limited to bookkeeping and reconciliations, client entity financial statements, periodic reviews, compliance cards)
Deal with any assigned actions arising from compliance monitoring and/or internal audit on a timely basis
Identify and report any client/business related conflicts of interests as well as declaring any personal conflicts of interests to Compliance
Governance
If requested, act as a Principal Person on an Apex Jersey company as aligned to the department’s business activities and attend quarterly and ad-hoc board meetings and discharge duties and obligations in line with companies law, the regulatory framework and the AJL Corporate Governance Framework
If requested, act as a Principal Person on regulated client companies as aligned to the department’s business activities and attend board meetings and discharge duties and obligations in line with companies’ law, the regulatory framework and the Director Services Policy
Attend Special Risk Committees on request (particularly for new business opportunities escalated, CDD deficiencies and SARs)
Serve on or attend AJL committees or forums, on request
Act as a Member 1 signatory on the relevant Apex Jersey delegated authorities for the Trustee Committee and Corporate Services Committee
Act as an A signatory on the relevant Apex Jersey delegated authorities for the Client Banking and Investment Accounts
People Leadership
Line manage direct reports (if required)
Act as leader in the department to engage staff and ensure achievement of departmental objectives and targets
