Transfer Agency Team Leader (Operations) – Cape Town

Summary of the position
The primary responsibility for the successful candidate is the day to day supervision of Operational Staff, queries and to ensure standardised processes are followed. It includes managing the processing and reporting of investor transactions for Unit Trusts, Hedge and Offshore funds within the agreed time as per the SLA.
Outline of main duties and responsibilities
The Team Leader (Operations) – Transfer Agency
will be expected to:
- Management of the Operations team including mentoring and training team members;
- Managing the daily operations and SLA deliverables within the Operations team
- Accurate processing and Validation of investor & broker static and transactional instructions in line with the Client, Fund, KYC and AML rules and timelines for Unit Trusts, Hedge and Offshore Funds
- Review and authorise all investor instructions;
- Application of KYC and AML rules according to the requirement of the relevant jurisdiction;
- Attend to Investor enquiries received directly via email or telephone;
- Complete all daily activities including flows, pricing, distributions, reporting etc..
- Ensure daily / weekly / monthly timelines are drawn up and allocated to the team to ensure these are performed correctly and timeously and ensure the necessary controls are in place and adhered to;
- Document and improve daily processes and team functions;
- Investigating and resolving customer, investor and internal queries efficiently and on a timely basis;
- Attend to Investor enquiries received directly via email or telephone;
- Ensure completion of checklists ie. all daily activities completed including Trading Box, Flows, Pricing, Distributions, Reporting etc.
- Managing automated and bulked file processing.
- Work directly with the fund accounting team to ensure the correct application of prices and timelines;
- Checking all outputs for accuracy and completeness;
- Handling ad hoc requests and requirements;
- High levels of engagement with both Maitland clients and the certain Investors
- Flexibility to work non-standard working hours and South African public holidays;
- Support and input to project work such as system upgrades and taking on of new clients.
- Develop a strong working relationship with the other Maitland offices e.g. Luxembourg and Caymen
Skills and experience required
The successful candidate will:
- Relevant tertiary qualification (completed or part) or at 4 years relevant industry experience;
- Previous people management/ team leadership experience;
- Good understanding, knowledge and experience of Transfer Agency back office administration processes;
- A good working knowledge of Silica, Flexcube or a similar client ledger system;
- Previous investor level processing experience with exposure to a Hedge Fund, Offshore or Unit Trust environment is advantageous;
- Excellent communication skills (written and verbal),Ideally exposure to a client services/call centre environment;
- Strong AML / KYC / FICA experience is advantageous;
- Excellent attention to detail;
- Strong work ethic and committed;
- Effective time management;
- Ability to analyse and resolve client queries with minimal support;
- Confident, enthusiastic and self-motivated;
- Ability to work under pressure and meet deadlines.
