We are seeking a detail-oriented and proactive professional to join our team, supporting investor communications and transfer agency (TA) operations. This role requires strong organizational skills, a commitment to excellence, and the ability to collaborate effectively across teams.
Key Responsibilities
Investor Communications
- Manage the investor mailbox and ensure timely responses to investor queries.
- Maintain a zero-complaint approach through effective communication, adherence to business etiquette, and professional stakeholder interactions.
TA Operations
Provide guidance and support to Client Service Managers in:
- Preparing and releasing drawdown, capital call, and distribution notices for closed-ended funds.
- Preparing and releasing investor reporting, including Capital Account Statements and Financial Statements.
- Processing cash transactions (capital calls/distributions), including receipts, payments, and bank account reconciliations.
- Handling investor operational issues.
- Preparing fund audit confirmations.
- Overseeing offshored activities and monitoring KPIs.
- Assisting with internal and external audits as required.
- Preparing administrative reports for clients and third parties.
Registrar Duties
- Supervise the creation and maintenance of accurate fund static data within TA systems.
AML/KYC Oversight
- Supervise investor onboarding processes and ensure compliance with AML/KYC workflows.
Projects
- Contribute to specific ad-hoc projects and oversee their delivery and completion.
Skills Required:
- A minimum of 5 years of experience in transfer agency in the Luxembourg fund services industry, specifically for close ended entities.
- Financial accounting knowledge/ experience is an advantage.
- Good working knowledge of Microsoft Office (Word, Excel).
- System knowledge of Mantra, Investran, Paxus and/or eFront, ICX is an asset.
- Excellent communication skills and a truly client servicing mindset.
- Good interpersonal skills and sense of teamwork.
- Committed to self-improvement.
- Ability to work autonomously and remain calm under high pressure.
- Ability to deliver within agreed deadlines.
- Fluent in English, French/ German is an advantage.
