Description

This position is primarily responsible for providing administrative support to the Sales Directors by assembling reports and presentation materials, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings. This is an entry-level position with a potential for advancement into a Sales, Underwriting, or Account Management role.

SUPERVISORY RESPONSIBILITY: None

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  1. Perform administrative/clerical tasks including, but not limited to:
  2. Preparing/formatting sales presentations.
  3. Preparing open enrollment packets.
  4. Coordinating client mailings.
  5. Submitting company car requests.
  6. Maintaining/coordinating marketing materials/supplies.
  7. Assembling marketing materials/packets and assisting staff with preparing for conferences/shows, etc.
  8. Filing, copying, binding, preparing mailings, etc.
  9. Answer phone calls and direct calls to appropriate parties, take messages, and answer routine inquiries.
  10. Assist with organizing meetings and other department functions throughout the year.
  11. Open, sort, and distribute incoming correspondence, including faxes and email.
  12. Complete expense reports on behalf of certain management and sales team members.
  13. Fill in at the front desk/reception as assigned and assist with mail drops to the post office as needed.

Requirements

PHYSICAL REQUIREMENTS:

  1. Must be able to sit or stand and type utilizing computer for up to 90% of the workday.
  2. Must be able to bend, stoop, walk, stand, and carry items weighing up to 20 lbs.
  3. Must be able to travel occasionally.

QUALIFICATIONS:

  1. High School Diploma or Equivalent required.
  2. Must have basic office/clerical experience and the ability and willingness to develop professional skills.

KNOWLEDGE, SKILLS AND ABILITIES:

  1. Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, designing forms and other office procedures and terminology required.
  2. Ability to work on multiple projects and to shift priorities required.
  3. Requires excellent attention to detail.
  4. Must be proactive, resourceful and efficient, with a high level of professionalism and confidentiality.
  5. Advanced knowledge of MS Office and other common software programs and websites required.
  6. Excellent overall computer and organizational skills required.
  7. Must have excellent interpersonal skills and the ability to work well with all levels of staff, as well as outside clients and vendors.
  8. Ability to successfully work independently or as part of a group on assigned tasks required.
