Position Overview

The Administrative Assistant is part of Cast & Crew's executive administrative support team, which includes Executive Assistants who directly support the C-Suite. This role provides operational and administrative support to both the EA team and select Senior Leadership Team members, helping keep executive operations running smoothly across scheduling, logistics, communications, and project coordination.

Key Responsibilities

  • Provide day-to-day administrative support to the EA team and designated Senior Leadership Team members, including calendar coordination, meeting logistics, and travel preparation.

  • Assist with scheduling internal and external meetings, preparing agendas, and managing follow-ups as needed.

  • Coordinate logistics for meetings, offsites, and events, including room bookings, catering, and materials.

  • Provide backup coverage for Executive Assistants during absences or periods of high volume, limited to calendar management, meeting logistics, travel coordination, and routing time-sensitive requests.

  • Prepare, edit, and format documents, presentations, reports, and correspondence.

  • Track action items, deadlines, and requests to ensure timely completion and follow-through.

  • Manage expense report preparation, invoice processing, and purchase requests in alignment with company policies.

  • Maintain accurate records, filing systems, and shared documentation.

  • Provide backup coverage for Receptionists during breaks or absences, including greeting visitors, managing incoming calls, and handling front desk requests.

  • Assist with ad hoc projects and special initiatives assigned.

Required Qualifications

  • 2+ years of experience in an administrative, coordinator, or office support role.

  • Strong organizational skills with the ability to manage multiple priorities under time pressure.

  • Excellent written and verbal communication skills.

  • High attention to detail and a proactive, solution-oriented mindset.

  • Ability to handle sensitive and confidential information with discretion.

  • Proficiency with Microsoft Office applications (Outlook, Word, Excel, PowerPoint) or similar tools.

Preferred Qualifications

  • Experience supporting executive-level leaders or working closely alongside Executive Assistants.

  • Familiarity with scheduling across multiple time zones.

  • Experience with expense management systems (Concur or similar) and travel booking platforms.

  • Comfort working in a fast-paced, highly collaborative environment.

Compensation is commensurate with various factors including, but not limited to, relevant experience, qualifications, skills, training, licensure, certifications, geographic cost of labor, and other business and organizational needs. Compensation range for candidates in other locations may differ based on the cost of labor in that location. The compensation range for this position is: $22.00 - $27.00 per hour.
