About the role

As the organisation grows the People function needs to structure itself to best support and enable our employees and managers. Our desire is to build a shared service approach to provide a smooth and frictionless service regardless of geography.

We are starting on this journey and our aim is for our new legal entity in Lisbon to be the home for one of our Global People Operations hubs. To this end we are looking for a People Advisor to join the team and help build our shared service team and reputation by keeping the customer at the heart of what we do! In this role, you will be responsible for responding to employee and manager queries across multiple geographies, ensuring high levels of service and accuracy in all interactions.

Main Responsibilities:

Query Resolution:

  • Serve as the primary point of contact for employee and manager inquiries related to HR policies, processes, and systems across various geographies.
  • Provide timely and accurate responses to queries via email, phone, and chat (until a case management tool is implemented) ensuring a positive employee experience.

Documentation and Record Keeping:

  • Maintain accurate records of all inquiries and resolutions, ensuring data integrity and confidentiality.
  • Prepare and update documentation, including FAQs and process guides, to improve service delivery.

Process Support:

  • Assist employees and managers in navigating HR systems and tools, providing guidance on processes such as absence, onboarding, benefits enrollment, and performance management.
  • Collaborate with HR teams to identify trends in queries and recommend improvements to processes and systems.

Data Management:

  • Ensure data accuracy in HR systems by regularly auditing and updating employee records.
  • Generate and analyze reports to track common queries and service performance metrics.

Training and Support:

  • Support the development of training materials and resources for employees and managers.
  • Conduct training sessions or workshops on HR processes as needed.

Cross-Functional Collaboration:

  • Work closely with regional HR teams to ensure alignment and adherence to shared services processes.
  • Collaborate with other departments both within People and the wider organization (e.g. Payroll) to streamline HR service delivery and create a positive employee experience.

Required Skills and Experience:

  • Ability to think in with a global mindset and think Cyncly first, before local country preference
  • The ideal candidate will have a strong customer service orientation, exceptional attention to detail
  • A self starter who is able to deal with a fast paced, often ambiguous environment as we set up the hub
  • Experience of working with, and proficiency in, the Microsoft Office suite.
  • Fluent in English essential with additional proficiency in at least one other European language (Portuguese, French, Italian, German or Spanish)
