About the Role
The Project Coordinator is a key member of the IT & Security Project Management Office (PMO) responsible for ensuring the efficient coordination, reporting, and governance of Security and IT Infrastructure projects across Cyncly. This role provides critical support to Project Managers and stakeholders by managing project documentation, tracking schedules, facilitating communication, and
producing high-quality progress visibility tools. The ideal candidate possesses strong organizational skills, an analytical mindset, and a foundational understanding of project management principles, including those governed by PMP and ITIL frameworks.


Key Position Responsibilities Include:
Project Coordination and Communication

  • Stakeholder Liaison: Serve as a central point of coordination between Project Managers (PMs),
  • Security Team members, IT Infrastructure Delivery Engineers, other technical teams, and internal stakeholders.
  • Meeting Management: Coordinate and schedule key project meetings (kick-offs, status updates.
    post-mortems), prepare agendas, document comprehensive meeting minutes, and track action items to completion.
  • Information Flow: Manage project communication logs and ensure timely dissemination of status updates, changes, and key decisions to all relevant parties.
  • Documentation Control: Maintain and manage the centralized repository for all project documentation (plans, scopes, schedules, risk logs, sign-offs) in line with PMO standards.

Reporting, Dashboards, and Tracking

  • Progress Reporting: Create, maintain, and distribute accurate weekly and monthly dashboards and progress reports detailing project status, milestone completion, and resource utilization.
  • KPI and Metrics Tracking: Track key performance indicators (KPIs) against project plans, budgets, and schedules, escalating deviations and potential risks to the Project Manager.
  • Schedule Support: Assist PMs with tracking project timelines, dependencies, and resource allocations across multiple simultaneous projects.
  • PMO Governance: Support the enforcement of PMO methodologies and governance standards, ensuring all projects follow mandated gate reviews and documentation processes.

Administrative and Continuous Improvement

  • Assist in the initial setup of projects within the PMO toolset (e.g., FreshService Project Management module, or similar).
    Support the PMO Manager in developing and refining project templates, standards, and best practices.
  • Maintain a deep awareness of PMP principles (e.g., scope, time, cost, quality) and contribute to the continuous improvement of the project management lifecycle.
  • Facilitate lessons learned sessions at the conclusion of projects to capture valuable insights for future planning.


Required Skills and Qualifications:

  • Experience: 3-5 years of experience in a Project Coordinator, PMO Analyst, or similar administrative role supporting technical projects, preferably in an IT environment.
  • Reporting Expertise: Proven ability to create clear, visually effective reports and dashboards (e.g. using Excel, Power BI, or similar tools).
  • Tool Proficiency: Strong proficiency in using project management tools (e.g., MS Project, Asana, Jira, or FreshService Project Management).
  • Process Knowledge: Foundational understanding or awareness of project management methodologies (e.g., PMP, Prince2) and IT service frameworks (ITIL).
  • Communication: Exceptional written and verbal communication skills with the ability to interact professionally with technical teams and business stakeholders.


Desired Skills:

  • Relevant certification (e.g., CAPM, PMP candidate, or PRINCE2 Foundation).
  • Experience in Information Security and Cyber Security program development.
  • Experience in resource management and financial tracking for IT projects.
  • Experience coordinating large-scale IT infrastructure or cloud migration projects.
  • Organization: Exceptional planning, organizational, and time management skills with a strong eye for detail.
  • Proactivity: Demonstrates self-motivation, proactivity, and tenacity in following up on outstanding items and driving tasks to completion.
  • Analytical: Logical approach to problem-solving and risk identification.
  • Teamwork: A strong team player, energetic, and highly effective in cross-functional collaboration.
