About the Role
The IT Co-Ordinator is a pivotal role responsible for end-to-end IT coordination across procurement, asset management, logistics, and infrastructure operations. This role serves as the central point of contact for IT logistics vendor management (Deel IT), hardware and software procurement, onboarding/offboarding asset coordination, certificate and AMC renewals, and RFMS customer migration tracking. The ideal candidate is a highly organized, detail-oriented professional with excellent communication skills and the ability to collaborate effectively across internal teams, external vendors, and senior stakeholders.
Key Responsibilities
- IT Logistics & Vendor Coordination (Deel IT):
- Act as the primary liaison with Deel IT for all IT logistics activities including onboarding and offboarding
- Asset procurement and management.
- Coordinate device/Software procurement, deployment, retrieval, and disposal.
- Track all logistics requests, ensuring timely fulfilment and accurate record-keeping.
- IT Procurement Coordination:
- Coordinate IT hardware and software procurement activities with site engineers, internal stakeholders, and external vendors.
- Prepare and manage Purchase Orders (POs) in alignment with procurement policies and budget approvals.
- Drive cost consolidation and optimisation initiatives to ensure value for money across IT procurement.
- Asset Management & Inventory Tracking:
- Maintain and regularly update the IT Asset Tracker.
- Ensuring accurate records of all hardware and software assets across the organisation.
- Serve as IT Asset Manager, overseeing the full asset lifecycle from procurement to decommission in coordination with the IT Logistics vendor.
- Conduct periodic asset audits and reconcile inventory discrepancies across all locations.
- Certificate, Domain & AMC Renewals:
- Track and coordinate timely renewals of software licences, SSL/domain certificates, and Annual Maintenance Contracts (AMC) in collaboration with the procurement team.
- Maintain a renewals calendar and proactively alert stakeholders well in advance of expiry dates.
- Work closely with the FinOps Specialist to ensure renewal costs are captured and optimised within budget.
- FinOps Collaboration:
- Partner with the FinOps Specialist on IT spend visibility, cost allocation, and budget tracking.
- Provide accurate and up-to-date data on procurement, asset, and licensing costs to support financial planning and reporting.
- Identify cost-saving opportunities and flag budget risks proactively.
- RFMS Customer Migration Coordination:
- Track and coordinate RFMS customer migration tasks, maintaining accurate records of system additions and deletions within Rackspace.
- Liaise with relevant technical teams to ensure migrations are executed as per schedule and flag any blockers or delays promptly.
- Maintain up-to-date migration logs and communicate status updates to stakeholders.
- Reporting:
- Prepare regular reports and dashboards on procurement status, asset inventory, renewal pipelines, and migration progress for management review.
- Identify process gaps and recommend improvements to enhance operational efficiency.
Qualifications and Skills:
- Bachelor’s degree in information technology/computer science/business administration, or a related field.
- 6–8 years of experience in IT coordination, IT procurement, asset management, or a similar role.
- Proven experience working with vendors and managing end-to-end asset procurement and lifecycle processes.
- Hands-on experience in preparing Purchase Orders and managing vendor relationships.
- Experience with asset tracking tools and maintaining accurate IT inventories.
- Familiarity with software license management, certificate renewals, and AMC coordination.
- Excellent verbal and written communication skills with the ability to coordinate across multiple teams and geographies.
- Strong organizational and multitasking abilities with a high degree of attention to detail.
- Ability to work collaboratively with FinOps, procurement, and engineering teams.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
- Ability to work independently as well as collaborate effectively in a team environment.
