Position Overview
The Office Manager, reporting to the People Experience Specialist, will be responsible for managing our Global Headquarters office located in Cary, North Carolina, ensuring that the office operates smoothly and efficiently in support of our local leaders and employees. This position is an in-office, part-time position (20 hours per week). The ideal candidate will have a positive attitude, be detail-oriented, and possess strong organizational skills with a desire to work in a fast-paced environment.
Responsibilities
- Answer the main phone line and manage the phone system (RingCentral)
- Provide a positive experience for all employees and visitors in the office including purchasing office supplies and snacks, keeping the office space organized, and hosting occasional office lunches
- Print and deposit checks and reconcile monthly credit card statements
- Assist with the shipping and distribution of IT equipment and new hire welcome items
- Serve as the liaison with facilities manager on maintenance, repairs, and cleaning.
- Maintain list and relationships with vendors
- Point of contact for office access, security system, conference room scheduling needs
- Partner with the Finance team to upload customer contracts, invoicing, credit memos and installations into NetSuite
- Print, scan, file, upload on Dropbox, and shred all documents
- Oversee the maintenance and reservations of the corporate apartment
- Assist with visitors with travel reservations
- Assist with COVID office reopening protocols, fire drills and office safety procedures
Required Skills & Education
- High School Diploma or equivalent
- 5 years of experience as an office manager or administrative assistant
- Effective verbal and written communication skills
- Excellent organizational skills with a strong attention to detail
- Strong critical thinking and analytical skills
- Desire to work in a fast-paced and changing environment
