Job Role

The Financial Planning Administrator will support the financial planning team in delivering exceptional service to clients by managing various administrative tasks, assisting with client documentation, and helping to ensure efficient operations within the financial planning process. This role is pivotal in maintaining accurate data and contributing to the successful delivery of financial advice and annual reviews.

Responsibilities

Client Management & Administration:

  • New Client Packs: Prepare and organize new client packs, ensuring all required documentation is included and up to date.
  • Letters of Authority (LOAs): Obtain and process Letters of Authority to allow advisers to liaise with third parties on behalf of clients.
  • Information Requests: Assist in gathering and managing client information as needed for the financial planning process.
  • Data Entry: Accurately enter and maintain client information in relevant systems, ensuring data is up-to-date and complete.
  • Research: Conduct research on financial products, providers, and options relevant to clients' financial plans.
  • Submission: Submit applications, claims, and documents to relevant third parties, such as investment providers, insurers, etc.
  • Pre-Approval: Assist with obtaining pre-approvals for products and services related to client financial plans.

Annual Reviews & Financial Planning:

  • Annual Review Preparation: Assist in the preparation of annual reviews for clients, ensuring that all necessary information is collected and reviewed.

Reports: Generate and prepare financial reports, including:

  • Annual Review Reports
  • Bed & ISA Reports
  • Fund Switch/Withdrawal Reports
  • New Business Reports

General Admin: Handle client and adviser queries, helping with routine tasks and general administrative support.

Client Interaction:

  • Front of House: Serve as the first point of contact for clients, providing a friendly and professional service. Answer calls, manage client inquiries, and direct them to the appropriate adviser when necessary.

Skills and Qualifications

  • Communication Skills: Strong verbal and written communication skills, with the ability to explain complex information clearly to clients and colleagues.
  • Attention to Detail: High level of accuracy in data entry and report preparation.
  • Time Management: Ability to manage multiple tasks efficiently and meet deadlines in a fast-paced environment.
  • Client-Focused: A client-oriented approach, with a focus on providing excellent service and fostering positive relationships.
  • Technical Skills: Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and experience using financial planning software and CRM systems.
