Job Description

  • Greet and welcome visitors with a friendly and professional demeanor
  • Answer and direct phone calls in a polite and efficient manner
  • Maintain a tidy and organized reception area, ensuring it represents our company's image
  • Manage incoming and outgoing mail and packages
  • Oversee daily office operations and ensure a clean, organized, and professional work environment
  • Engage with the office security to ensure the security procedures are adhered
  • Coordinate maintenance and repairs for office equipment and facilities
  • Ensure all health and safety protocols are in place
  • Maintain service reports of the building maintenance activities, fire trainings ect
  • Coordinate with suppliers related to office equipment (UPS, Access control, projector screens, ect) and ensure the equipment is serviced and maintained
  • Ensure the quality of staff meals are maintained by continuously engaging with the caterer
  • Facilitation of all the overseas travel arrangements
  • Periodically conduct food and water testing to ensure proper health and hygiene standards are maintained
  • Maintain and update the Vendor Agreements as and when the expiry date approaches
  • Manage office supplies inventory and place orders as necessary
  • Process invoices, expense reports, and purchase orders
  • Create vendors on the procurement system and register the accurate GL accounts to suppliers by raising tickets
  • Assist in planning and organizing company events, meetings, and conferences

Qualifications

  • Excellent customer service skills
  • Excellent oral and written communication skills
  • Strong analytical and problem solving skills
  • Ability to be resourceful and proactive when issues arise
  • Strong organizational and multitasking skills
  • Willingness to learn new skills and take direction
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)

Required Education & Experience

  • Minimum of 2 to 3 years of proven work experience as a receptionist or similar role
  • In depth knowledge on customer service
