Job Description

The PM Officer – Legal Operations helps IFS Legal team to execute on business goals through effective deployment of policies, best practices and tools that enable effective legal and business processes, great insights, as well as building efficiency and productivity across the organization. The role enables effective change management, management of systems and tools as well as helping to design and implement business improvement projects across the organization.

Responsibilities include, but are not limited to:

Cross functional coordination of projects

  • Provide active technical leadership of CLM solution to maximise its benefit teams at IFS

  • Act as the “bridge” between technical teams and the business. Ensure the CLM roadmap, and future changes to be implemented are understood by the business

  • Make strategic recommendations for enhancements to maximise value from CLM

  • Project manage CLM enhancements, integrations to THOR and customisations from design through to implementation. Secure leadership buy-in, define specifications, liaise with IT about development, and co-ordinate testing and deployment effort to have enhancements deployed to production.

  • Do the same for other IFS systems managed by the legal team implemented over time

System analysis and issue resolution

  • Conduct in-depth analysis of CLM issues and potential resolutions (processes, fields, system behaviour, dependencies etc.)

  • Ensure issues in CLM and other solutions are understood, with suggested courses of action to resolve them are agreed on and implemented

  • Make insightful recommendations to further enhance the business value gained by the business from its business tools

  • Do the same for other IFS systems managed by the legal team implemented over time

Process Definitions and Enhancement

  • Support the development of processes and concepts for enhanced operational procedures and tools

  • Perform assessment of existing tools and methodologies to simplify and standardize them

  • Drive cross functional initiatives in cooperation with Global functions

Business Partnering

  • Act as trusted business advisor to legal management by translating data into insight

  • Enable organizational adherence to company policies and procedures, provide day to day responses to teams to enable troubleshooting

  • Manage CLM business, consolidate and communicate actions as necessary to senior stakeholders – do the same for other systems managed by legal

  • Manage preparation of and updates to end user documentation such as guides, training materials and process guides

  • Manage Legal Operations internal social media/ intranet communication platforms



  • 2+ years’ experience in operations or related business support role, ideally with experience in an international organization with virtual working environment. Recent graduates also considered.

  • University degree or comparable professional experience

  • Professional fluency in English


  • Educational background in the legal operations field, and / or experience in technical IT-facing business analyst-type role, ideally working with CLM applications (also CRM applications)

  • Business proficiency in English, additional languages are a plus

  • Legal knowledge beneficial but not required

  • Exceptional problem-solving skills underpinned by strong systems-based technical and analytical skills.

  • Ability to manage complex topics across the complete business landscape and operating functions.

  • Good presentation skills. Ability and confidence to interact with both internal and external customers. Must be responsible with and able to handle confidential information.

  • Ability to inspire positive change and take ownership of a project.

  • Proficiency in information technology trends and developments.
