Job Description
The Junior HR Executive role in the HR Shared Service Centre is to process the HR Operational requests coming from countries across the IFS offices globally. This role is the first point of contact for HR queries in all sorts of questions related to an employee life cycle events, on-boarding to off-boarding. Requests in the short term will be focused around the HR Data set up in our internal system, partner data set up in our system and data corrections that may be required.
Essential Duties & Responsibilities:
- Responsible for HR administration in internal HR Systems, from on-boarding to off-boarding e.g. setting up new starters, administering leavers, setting up schedules, responsible for user permissions, organization and position changes in internal HR System.
- Jointly accountable for the day-to-day workload of the HR Shared Services team within the required SLA’s
- Responding and acting upon tickets sent from the country HR teams/Managers
- Act as a first line support to all employee regarding IFS Thor queries and provide an excellent customer experience by investigating and resolving errors quickly and efficiently.
- Be customer centric when dealing with customers ensuring a professional and proactive service.
- Leave and absence management
- Responsible for quality in IFS Thor, assisting the country HR teams in correcting data inaccuracies e.g. incorrect reporting lines, incorrect access levels.
- UAT (user acceptance testing) on testing environment to ensure processes are followed accurately in production environment.
Qualifications
Required Competencies:
- Passion for HR – A strong desire to build a career in Human Resources, particularly in a global HR Shared Services environment.
- Problem-Solving & Collaboration – Ability to analyze issues, think critically, and work effectively with global teams to find solutions.
- Technical & HR Systems Expertise – Experience working with HR software, with the ability to navigate and adapt to new systems and technologies. Exposure to HRIS, reporting tools, and automation is an advantage.
- Adaptability & Learning Agility – Willingness to take on new responsibilities as the HRSSC transitions into expanded operations. Ability to quickly grasp new processes and apply learnings effectively.
- Team-Oriented & Collaborative – A proactive team player who thrives in a fast-paced, multinational environment.
- Proficiency in MS Office – Strong skills in Word, Excel (including data analysis and reporting), and Project for effective documentation and planning.
- Strong Communication Skills – Excellent verbal and written communication in English, with the ability to engage with stakeholders across different regions.
- HR Data & Reporting Capabilities – Hands-on experience in running reports from HR platforms, with a keen eye for accuracy and insights.
- Detail-Oriented & Organized – Ability to manage multiple tasks efficiently, ensuring accuracy and adherence to HR processes.
- Multitasking & Prioritization – Capable of managing high work volumes during peak HR cycles while effectively prioritizing tasks in a dynamic environment.
- Structured Problem-Solving Approach – Ability to quickly assimilate information, identify key details, and propose logical solutions.
- Proactive & Self-Motivated – Takes initiative, seeks continuous learning opportunities, and demonstrates ownership of tasks.
- Exposure to Global HR Practices – Prior experience in or willingness to explore global HR operations, ensuring compliance with international HR policies and standards.
Required Education & Experience:
- Preferably pursuing a University Degree or equivalent professional qualification in Human Resources
- 6-12 months experience working within a HR Shared Service environment would be highly beneficial, even if at Intern level
