Job Description

IFS Ultimo, an IFS company based in the Netherlands with more than 2000 global customers, is a leading Enterprise Asset Management software provider with a strong reputation for the completeness, flexibility, and configurability of its SaaS EAM solutions.

This role sits within IFS Ultimo Finance Team working from Sri Lanka.

As an Accounts Payable Specialist, you are an important member within the Ultimo Group.
You are primarily responsible for the accurate, timely, correct and complete processing of all
purchase invoices, declarations and bank transactions within the Ultimo Group.

You will serve as the primary point of contact, alongside the Finance team, for inquiries related to the above-mentioned parties and topics.

You will collaborate closely with the Financial Controllers, and it's essential that this partnership is well-coordinated from a business perspective. This ensures that roles and responsibilities are clearly defined, with specific expectations regarding who is responsible for what and when.

The Accounts Payable Specialist at Ultimo is able to perform/manage the following activities in
good order:

• Purchase invoices
  • Responsible for the daily processing of purchase invoices.
  • Able to perform this adequate in a timely and complete manner.
  • First point of contact when there are questions about the processing of purchase invoices.
• Bank transactions
  • Responsible for the daily processing of all bank transactions.
  • Able to perform this aqurate in a timely and complete manner.
  • First point of contact when there are questions about processing bank transactions.
  • Manage balance specifications.
  • Periodically (monthly) updating balance sheet specifications.
• Declarations and travel expenses
  • Together with Accounts Payable Specialist responsible for the management expense software 'Declaree'.
  • Assessing whether employees have drawn up and submitted the declarations in accordance with Ultimo Group's guidelines.
  • Export and process travel expenses booked through travel software 'Egencia'.
• Support with Finance Audit.
• If desired, support tenders from a Finance perspective.

Qualifications

• Bachelor’s degree in Accounting, Finance, Business Administration, or a related field.
• 3-5 years of experience in accounts payable or in financial accounting.
• Strong knowledge of basic accounting principles and accounts payable processes.
• Excellent Verbal and Written communication skills
• Proficiency in Microsoft Excel and related accounting software (experience with ERP systems like SAP, Oracle, or IFS is a plus).
• Excellent organizational skills with strong attention to detail and accuracy.
• Good problem-solving skills and the ability to work independently.
• Strong communication and interpersonal skills for vendor and internal team interactions.
• Experience in a high-volume AP environment or with multinational organizations.
• Understanding of compliance and regulatory standards in accounts payable.

This will be the first role we are opening in Sri Lanka for Finance Team. Therefore, You will have added advantage if you have following:

• Takes Initiative
• Knowledge of the software program Certinia (formerly FinancialForce/ SalesForce)
• Ability to Multi task & Time Management
