Job Description

About the role:

The Professional Services Administrator plays a key role in supporting the operational functions of the Professional Services. This role is responsible for analyzing and presenting meaningful data, improving efficiencies, and ensuring the smooth administration of professional services processes. The administrator will also serve as the system administrator for the PSA tool and collaborate with various teams to support business objectives.

Key Responsibilities:

  • Collect, analyze, and interpret complex data sets to identify trends, patterns, and insights that support business decisions.
  • Create demand and capacity models for Professional Services to improve visibility over capacity requirements (if applicable)
  • Assist in coordinating and tracking client projects, ensuring milestones are met and updated for invoicing/ revenue recognition purposes.
  • Provide administrative functions for day-to-day business associated with Engagements and Projects.
  • Responsible for the end-of-month process across all regions for Professional Services, assist in billing and invoicing processes, ensuring accurate and timely submission.
  • Proactively engage with sales on engagements where T&M hours are either expiring or getting low.
  • Create Statements of Work based on details provided by the PS Managers and Principal Architects.
  • Create regular reports and presentations that provide clear and actionable insights for leadership.
  • Engage with cross-functional teams to gather requirements, feedback, and ensure business objectives are met.
  • Collaborate with internal teams to optimize workflows and improve operational efficiency.
  • Serve as the system administrator for our Professional Services Automation (PSA) tool, currently Kantata, ensuring its effective utilization, maintenance, and optimization. Including creating new reports and dashboards as required
  • Work closely with all areas across the team, including Professional Services Managers and the Project Management Office to ensure seamless collaboration and efficiency

  • Communication Skills: Excellent written and verbal communication skills, with the ability to interact with internal teams effectively.
  • Technical Proficiency: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and project management tools.

Qualifications

  • Bachelor's degree in Business Administration, Healthcare Administration, or a related field preferred.
  • 2+ years of experience in an administrative, data analysis, or coordinator role, preferably in a healthcare or professional services environment.
  • Strong problem-solving skills and a proactive mindset.
  • Ability to work independently and collaboratively within a team.
