Job Description

About the role:

We are looking for an energetic and experienced Senior Payroll Specialist that will function as a lead processor for our Global Payroll department. The ideal candidate will have 5-7 years of end-to-end payroll processing experience, the ability to meet strict time-sensitive deadlines, a strong work ethic, exceptional attention to detail, strong English language skills (written and spoken) and excellent customer service skills as you’ll be assisting employees globally in many different countries. The global team processes payroll in about 20 countries and for 1600 employees. USA/Canada payrolls (about 400 employees) are semi-monthly while other countries are monthly.

Key responsibilities:

  • As part of the global payroll team, you will process end-to-end payroll for employees in your assigned countries, which may change over time with company needs, and assist other team members as needed.
  • Work closely with HR team to ensure accurate employees master data including set up of new employee records, validate employees’ changes and employee terminations
  • Work with 3rd party payroll vendors to ensure that payroll related file feeds are accurate and timely (ADP in US, Canada, Singapore, Australia, and Malaysia; various 3rd party vendors in other countries)
  • Initiate off-cycle payments for terminations within regulatory timeframes.
  • Reconcile and process payroll deduction changes for different country pension funds or 401k (USA), enrollments, and deductions and remit funding on a periodic basis.
  • Calculate and process country specific leave payments in accordance with country and company leave policy and regulations.
  • Ensure all payroll related tax filings are done timely and accurately, including the set-up of new accounts with various federal and state and local agencies. Work with tax agencies and payroll service providers to resolve tax issues.
  • Ensure compliance with employment laws and regulations - monitoring federal, state, city, and local registrations for payroll taxes.
  • Prepare monthly payroll reconciliations (reconciliation of payroll GL accounts to payroll register)
  • Participate with internal/external payroll related audits and requests.
  • Provides support to Human Resources team to help resolve payroll-related matters.
  • Respond to payroll related inquiries from employees and/or key stakeholders.
  • Ability to work through payroll platform changes and implementations, various integrations, and related activities.
  • Develop, maintain, and improve payroll processes, employment tax processes, and internal controls to preserve the quality, efficiency and overall effectiveness of all payroll functions while ensuring regulatory compliance.
  • Manage vendors and system providers including compliance with service level agreements.
  • Communicate effectively with various levels of management to ensure high level of customer support and positive customer interactions.
  • Ensuring department’s ability to meet all company deadlines and annual performance goals.

Qualifications

Preferred Skills and Experience:

  • 4+ years of experience processing payroll in different countries (Sitecore currently has employees in USA, Canada, Ireland, UK, Australia, Singapore, Japan, Malaysia, India, Denmark, Netherlands, Belgium, Greece, France, Germany, Switzerland, Spain, Italy, Saudia Arabia, UAE)
  • Strong knowledge of country / state specific payroll tax and wage laws
  • Attention to detail with demonstrated organizational skills and accuracy
  • Ability to use Microsoft productivity software such as Excel and Word
  • Ability to work in a fast-paced environment, manage competing priorities, and adhere to tight deadlines, all while maintaining exceptional attention to detail Strong organization skills and the ability to maintain detailed records.
  • Ability to work collaboratively across different departments.
