Job Description

Guest Services

  • Greet all visitors warmly and professionally.
  • Maintain high standards in site security by following procedures, maintaining logbooks, and issuing visitor badges.
  • Efficiently notify colleagues of visitor arrivals.
  • Direct visitors to meeting rooms when required.
  • Ensure the reception area and meeting rooms remain tidy and welcoming.
  • Efficiently answer and redirect incoming calls.

Meeting Room & Office Coordination

  • Manage meeting room bookings and ensure smooth scheduling.
  • Arrange transportation for clients and visiting staff when needed.
  • Organize catering for customer meetings and staff events.
  • Maintain stock levels of stationery, tea, coffee, and other office supplies.
  • Coordination of equipment for meetings and events

Mail, Deliveries & Couriers

  • Accept all incoming post, parcels, and packages, notifying recipients promptly.
  • Inform IT of deliveries such as phones, keyboards, and other equipment.
  • Arrange regular couriers' pickups with FedEx , UPS.
  • Organize outgoing post and couriers as required.

Procurement & Finance Support

  • Set up suppliers, raise purchase orders, and receipt goods/services.
  • Assist Accounts Payable with queries related to suppliers and invoices.

Facilities & Security

  • Alert the Facilities Manager to any incidents such as security threats, break-ins, power cuts, fire, floods, or other issues that could impact operations.
  • Support health, safety, and compliance standards within the office.

General Support

  • Assist with employee onboarding to ensure a welcoming first-day experience.
  • Support internal events, employee programs, and workplace initiatives.
  • Carry out other tasks and projects as assigned by your line manager.

  • Salary Range: $60,000 to $75,000 plus bonus potential

    Qualifications

    • 1–5 years of experience in office services, reception, hospitality, or workplace experience.
    • Strong communication and interpersonal skills with a professional, people-first approach.
    • Excellent organizational skills and the ability to multitask effectively.
    • Attention to detail and a proactive, problem-solving mindset.
    • Comfortable with workplace tools and systems (e.g., MS Office, Google Workspace, Teams or similar).
    • A reliable team player who thrives in a fast-paced environment.
    • Must be able to lift minimum of 25LBS
