Job Description
About the role
The Receptionist serves as the first point of contact for employees, visitors, and partners. This role ensures a welcoming, well-organized, and efficiently managed front-office environment while supporting key administrative operations, access management, events, and hospitality services. The ideal candidate demonstrates exceptional professionalism, attention to detail, and a strong customer-service mindset.
Key Responsibilities
1. Visitor Experience & Front Desk Operations
- Warmly welcome and assist all visitors, providing a professional and positive first impression.
- Verify visitor identification and ensure adherence to all security protocols.
- Issue visitor passes and notify hosts promptly of guest arrivals.
- Maintain accurate visitor logs and coordinate access with security personnel.
- Support interview candidates and liaise with TA teams for smooth coordination.
- Arrange access for visitors, interview candidates, and new joiners with Port City management.
- Responsible for the operation of the AI Facility and LED within the Reception area, Training to be provided to Digital Software and Digital Hardware Technology
- Role involves ensuring the CSR within Reception environment is managed and functional
2. Communication Management
- Record messages for unavailable staff and ensure timely follow-ups.
3. Reception & Office Environment
- Maintain a clean, organized, and presentable reception area at all times.
- Monitor and ensure proper functioning of reception video walls and displays.
4. Mail & Delivery Management
- Receive, sort, and distribute incoming mail and packages.
- Maintain accurate postal and delivery records for tracking and compliance.
5. Employee Documentation & Offboarding
- Collect ID cards and relevant access items from resigned employees.
- Notify Port City security for timely deactivation of building access.
6. Access & ID Badge Administration
- Issue staff ID cards, visitor badges, and maintain up-to-date records.
- Track and manage inventory of lanyards and ID accessories, ensuring timely replenishment.
7. Staff Transportation Coordination
- Coordinate cab bookings for shift-based employees as requested by departments.
- Ensure all requests meet approval requirements and follow established guidelines.
8. Catering & Meal Service Coordination
- Share daily lunch headcounts with the catering partner and monitor service delivery.
- Validate staff meal counts and help maintain orderly serving patterns.
9. Event Support & VIP Hospitality
- Coordinate internal meetings, leadership visits, and special events.
- Arrange refreshments, meals, and hospitality requirements as needed.
- Manage hotel bookings and catering arrangements for visiting VIPs.

Education & Experience Requirements
Essential
- 18 months or more years of experience in a receptionist, front-office, or customer service role
- Strong understanding of front-desk systems and visitor management procedures
Desirable
- Diploma or Degree in Business Administration, Customer Service, or a related field
