AUFGABEN UND VERANTWORTLICHKEITEN:

  • Besetzung des Front Office mit zugehörigen Empfangstätigkeiten
  • Bearbeitung aller Beschaffungsanfragen (Waren, Lizenzen und Dienstleistungen) in unserem Dynamics ERP System
  • Überwachung des Workflows aller Beschaffungsanfragen bis hin zur Abrechnung
  • Auswahl der Lieferanten sowie Erstellen von Preisvergleichen
  • Rechtliche Vorprüfung von Angeboten/Verträgen
  • Koordination des Facility-Managements (u.a. Reinigung, Security, Versorger (Wasser, Strom) für die deutschen Niederlassungen sowie Zusammenarbeit mit der Hausverwaltung und externen Dienstleistern
  • Organisation der Büromaterialien
  • Allgemeine administrative Tätigkeiten wie Bearbeitung der Ein- und Ausganspost, Versand und Unterstützung bei der Eventplanung

ERFAHRUNG UND QUALIFIKATIONEN:

  • Abgeschlossene kaufmännische Ausbildung
  • Erfahrung im Einkauf oder in der Buchhaltung vorteilhaft, aber nicht zwingend notwendig
  • Du bist routiniert im Umgang mit den MS-Office Anwendungen sowie Dynamics ERP System
  • Du hast Freude an serviceorientierten organisatorischen Aufgaben
  • Du arbeitest strukturiert und selbstständig
  • Du arbeitest gerne im Team
  • Du bist kommunikativ und lässt Dich auch in stressigen Momenten nicht aus der Ruhe bringen
  • Du verfügst über sehr gute Deutsch- und gute Englischkenntnisse in Wort und Schrift

LOCATION: Bremen, Germany

TASKS AND RESPONSIBILITIES:

  • Staffing of the front office with associated reception activities.
  • Processing of all procurement requests (goods, licenses and services) in our Dynamics ERP system
  • Monitoring of the workflow of all procurement requests up to invoicing
  • Selection of suppliers and preparation of price comparisons
  • Legal pre-audit of offers/contracts
  • Coordination of facility management (including cleaning, security, utilities (water, electricity) for the German branches as well as cooperation with the facility management and external service providers
  • Organization of office materials
  • General administrative tasks such as processing incoming and outgoing mail, shipping and support in event planning

EXPERIENCE AND QUALIFICATIONS:

  • Completed commercial training
  • Experience in purchasing or accounting is advantageous but not mandatory
  • You are experienced in using MS-Office applications as well as Dynamics ERP system
  • You enjoy service-oriented organizational tasks
  • You work in a well-structured and independent manner
  • You enjoy working in a team
  • You are communicative and don't let yourself get rattled even in stressful moments
  • You have a very good knowledge of written and spoken German and good knowledge of written and spoken English
