People Operations Specialist (m/f/d) - Bremen

THE ROLE:
This is a hands-on People Operations role responsible for delivering high-quality day-to-day HR support across multiple regions, including EMEA, APAC and India. The role supports People Partners with core employee lifecycle activities, ensures the smooth running of operational HR processes, and provides reliable coverage for the HRIS Specialist during periods of absence.
The People Operations Specialist (m/f/d) plays a key role in maintaining accurate employee data, supporting onboarding and benefits administration, and ensuring compliance with local requirements, particularly in Germany.
TASKS AND RESPONSIBILITIES:
People Operations & HR Administration
• Deliver end-to-end operational HR support across the employee lifecycle, including maintaining accurate, up-to-date (digital) employee records, accurate data input into the HRIS and other employment-related documentation (references, parental leave confirmations, termination confirmations and related official documents
• Manage the People team inbox and act as a first point of contact for routine employee queries and documentation
• Monitor expiry dates for work permits, student enrolments and related documentation, and coordinate renewals as required
• Support benefits administration (e.g. EGYM Wellpass, BusinessBike, food vouchers), answering employee questions and preparing relevant documentation
• Contribute to the ongoing development and improvement of People Operations processes and documentation
Onboarding & Employee Experience
• Coordinate the HR elements of onboarding, ensuring new hires are set up accurately and on time in systems, and support in planning and organising the quarterly face to face onboarding training
Time & Absence Management
• Support day-to-day time recording and absence management processes
• Monitor timesheets, sickness records and discrepancies, and liaise with managers where follow-up is required
• Prepare regular checks and reports (e.g. sickness statistics, student working day limits)
• Train new employees/managers on time recording and absence planning processes as needed
HRIS & Systems Support
• Use the HRIS confidently for employee data management, reporting and workflow administration
• Provide cover for the HRIS Specialist during periods of PTO, ensuring continuity of routine HRIS tasks and support
• Support system updates, data accuracy and user access management
Health, Safety & Compliance
• Support health and safety administration, including processing workplace accidents and coordinating preventative health measures
• Monitor sickness absence thresholds and support the administration of BEM processes where required
• Support compliance with local labour law and internal policies, particularly in Germany
EXPERIENCE AND QUALIFICATIONS:
Essential
• Previous experience in a People Operations / HR Administration role
• Confident user of an HRIS and HR systems
• Highly organised, detail-oriented and reliable
• Experience supporting onboarding and employee lifecycle processes across multiple countries
• Experience with HiBob or similar HRIS platforms
• Strong written and verbal communication skills in English and German
