Job Description
We are seeking an Executive Assistant to provide confidential executive-level support to the Leadership team. The ideal Executive Assistant will be a motivated self-starter who is high-energy, goal-oriented, and results-driven, has a high level of integrity, and thrives in a fast-paced work environment. The company is entering a high growth mode making it an exciting time to join this dynamic team!
What will you do?
- Perform calendar management by planning and scheduling meetings, conferences, and travel
- Prepare detailed minutes of the meeting and follow up on any outstanding actions
- Manage senior leadership or external client visits to India offices
- Produce usable information by transcribing, formatting, editing, and delivering text, data, and graphics
- Represent the executive team in a highly professional manner.
- Maintain a high level of confidence by protecting confidential information
- Complete various projects such as collecting and organizing information, compiling reports or presentations, etc.
- Make travel arrangements including airfare, lodging, and transportation for staff for both domestic and international travel, and work with travel agencies for the optimum and cost-effective options
- Manage internal and external events where required – employee all hands, external events, team outings, CSR programs, and so on
- Partner with HR on employee engagement events where required
- Act as a backup for the facility lead/manager when required
- Open, sort, and distribute incoming correspondence, including faxes and email
- Contribute to team effort by accomplishing related results as needed

- Project Management – ability to coordinate multiple work streams and provide active follow-up on deliverables requested by the executive
- Proactive Vision – Ability to anticipate the needs of the executive and the executive team and “see around corners” to ensure seamless execution of activities.
Qualifications
Qualifications
- Bachelor’s degree
- Effective communication, presentation, decision-making, time management, organizational, and problem-solving skills
- Experience working with Board of Directors
- Proficient with Microsoft Office Suite including Excel, Word, and PowerPoint
- Ability to multitask and prioritize daily workload
- Preferred qualifications: 5-6 years of administrative and/or project management experience
- Expense Reports and Budgeting
- Swag management specific to ELT gifts
