ROLE SUMMARY:

We are looking for a talented Management Assistant for one of the schools of Inspired who will play a pivotal role in the day to day running of the school. You will be dedicated to being part of a team that is looking to develop a leading school and will work very closely with the Executive Head, the Senior Leadership Team and the Operational departments to achieve this aim.

KEY RESPONSIBILITIES:

Executive Support:

  • Manage phone calls, visitors, and appointments for the Executive Head.
  • Organize diaries and schedules, collaborating with the team.
  • Prepare information for meetings and document minutes as needed.

Coordination and Liaison:

  • Liaise with school leaders, teams, and local authorities.
  • Support organization, preparation, and coordination of school events.
  • Coordinate school transfer documentation

Communication and Public Relations:

  • Support the compilation and distribution of newsletters to parents.
  • Manage social media imagery and the 'classlist' platform.
  • Deal with day-to-day queries.

Administrative Support:

  • Assist in various administrative tasks such as lesson observation cycles.
  • Coordinate and assist in the creation and update of school policies (including the Staff handbook).

HR and Personnel Support:

  • Provide support for performance management and probation processes.
  • Track staff attendance and leave approvals for the secondary school.

General Administration:

  • Open and distribute post daily and delegate tasks accordingly.
  • Arrange staff planners and manage one of the school receptions.
  • Handle the school email address.

THE IDEAL CANDIDATE WILL HAVE:

Ability to prioritize tasks, work under pressure and prioritize to get things done Capacity to manage, organize, and motivate staff, fostering a reliable and flexible approach. Strong communication and customer service skills, displaying a friendly, tactful, and responsible attitude. Ability to give and take instructions professionally. Accurate and efficient word processing skills, excellent administrative capabilities, and proficiency in office equipment usage. Willingness to adapt to various school management systems and undertake additional software training. Capacity to operate on one's own initiative and develop new ideas.

Background (Mandatory)

  • Secretarial experience
  • Proficiency in Microsoft Office and, ideally, Google suite (especially Excel and Google Sheets)
  • Fluent in Portuguese and English

Background (Desirable)

  • HR experience in business or school environment
  • Experience of working with school/business management software e.g. ISAMS, SchoolsBuddy, SuccessFactors, Timetabler Classlist etc
