Responsibilities:

  • Management of VP schedule: Calendar, Meetings (Internal and External), Complex Travel (All logistics: Flights, Accommodation, ground transport, Dinners), Expenses
  • Managing Quarterly Business Reviews and All Hands Meetings/Events
  • Taking and distributing actions from leadership meetings and following through with individuals to completion, keeping all delegates aligned on status
  • Managing regular cadence of VP Meetings
  • Approvals: Expenses, Travel
  • Preparation of powerpoint presentations
  • Working closely with Sales Operations, Marketing, Events, Finance, HR and Enablement all while helping to cultivate a supportive and positive work environment
  • Drive, track and complete ad-hoc projects/programmes in agreed timeframes
  • Support with New Hire Onboarding
  • Creating and implementing processes
  • Managing conflicts and escalations efficiently
  • Working with SFDC on Sales Hygiene and other reportings
  • Checking and processing the incoming Emails in contact@ivanti.de inbox (checking in SF, forwarding, follow up)

Responsibilities of Facilities Manager:

  • Maintaining the office conditions and arrange necessary repairs
  • Organizing and coordinating administration duties and office procedures
  • creating and maintaining a pleasant work environment, ensuring high levels of organizational effectiveness and communication
  • Place orders for stationary, coffee, fruit, milk etc.
  • Assist in the onboarding process for new hires / communication with IT, New Hires
  • Address employee´s queries regarding office management issues
  • Liaising with facility management vendors
  • Serving as the first point of call for reception duties including site visitors, meeting room booking
  • Postal and courier services/ receive and forward invoices to Accounts Payable, sending and receiving IT equipment to new hires / leavers
  • General administration support as assigned
  • Creating purchase requests for facility department
  • Support the work council with communication and postal services
  • Office supply inventory and equipment
  • First aid and fire protection tasks
