As the Associate Manager, Office Operations at Mediaocean, you will be based in our Pune office but will also lead our office operations teams throughout the APAC region (Melbourne, Sydney, Kuala Lumpur, Singapore & Shanghai). By collaborating with other department heads and our regional offices, you will be a key component in the operational success of Mediaocean in APAC. In addition to working with teams internally, you will find, create, and foster relationships with all our vendors and building contacts.
What You Will Do
- Proactively manage and maintain lease agreements for all APAC offices.
- Identify opportunities for savings and efficiency.
- Oversee purchasing, vendor management, and general maintenance of vendor relationships including bidding, budget approvals, purchasing and more.
- Maintain service contract agreements and execution.
- Manage and maintain processes and procedures based on compliance statutory including housekeeping, security, maintenance, transport and more.
- Manage domestic and international travel requirements for APAC region.
- Manage a localized Office Ops budget, including reviewing monthly expenditures, leading cost optimization efforts and special products, and participating in an annual budgeting process.
- Oversee and manage internal work order ticketing system.
- Lead all APAC office buildouts & remodels, including third party/vendor selection, negotiation, and management.
- Provide ongoing management, coaching, and career development for the local APAC Office Operations Team
- Alongside People & Culture and IT, develop and implement emergency preparedness plans and procedures for each office.
- Overseeing orders of supplies, food, drinks, catering and more
- Help organize and streamline our procedures and offerings across APAC.
- Performing routine inspections and emergency repairs as needed
- Monitoring and maintaining the safety and cleanliness of offices
Who You Are
- Bachelor’s Degree preferred
- 5+ years' experience in Office Management (minimum 2 years as a supervisor of staff)
- Extensive Microsoft Office Suite, Word, and Excel knowledge
- Values and practices a team player attitude.
- Strong sense of initiative and can-do attitude
- Budget management experience
- Strong negotiation skills
- Strong communication skills both written and verbal.
- Ability to multi-task and organize competing priorities in an efficient manner.
- Must take initiative and demonstrate exceptional judgement when making” decisions and problem solving.
- Willingness to travel (regularly and when needed)
- Ability to work after-hours and overtime to help oversee office moves and events, office emergencies.
