Job Description

Leads the end-to-end proposal lifecycle by coordinating stakeholders, developing persuasive and compliant content, and managing timelines, data, and deliverables to support sales and drive winning submissions.

A Day in the Life

· Lead the proposal lifecycle from kickoff to submission, ensuring timely and high-quality responses.

· Facilitate proposal kick-off meetings, reviews, and approvals with stakeholders.

· Manage proposal schedules, deadlines, and deliverables to meet submission timelines

· Work closely with subject matter experts (SMEs), sales, marketing, and product teams to gather relevant information.

· Write, edit, and format proposals and related content to ensure clarity, accuracy, and compliance with requirements.

· Develop clear, persuasive, and customer-focused content, tailoring messaging for target audiences.

· Ensure proposals align with company offerings, brand guidelines/messaging, tones, style guidelines, and compliance requirements.

· Responsible for printing, assembling, and packaging hard copies of proposals in a professional manner, ensuring timely shipment to meet deadlines.

· Maintain and Review a proposal content library (Arphie) with up-to-date responses, templates, and best practices for efficiency and consistency.

· Conduct research to improve content quality and stay up-to-date with industry trends.

· Data Analysis & Visualization: Collect, analyze, and present proposal-related data to track win/loss rates, proposal volume, and other key metrics for quarterly and end-of-year reporting.

· Other duties as needed

MINIMUM KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:

Experience:

· Typically requires 2+ years of related experience

· Bachelor’s degree or equivalent work experience

· Experience with proposals platforms preferred

· Communications/writer experience preferred

· Experience using Salesforce a plus

Computer/Technical:

· Proficient knowledge of MS Office (Word, Excel, PowerPoint) and Adobe

· Proficient knowledge of proposal software (i.e. - Responsive, Loopio, Arphie)

· Demonstrated ability to learn and understand various computer systems.

· Experienced in using AI tools to work smarter, accelerate results, and elevate output quality.

Other Skills:

· Must have the ability to work independently and handle multiple priorities and deadlines simultaneously.

· Problem solving ability

· Excellent organization and follow up skills.

· Excellent relationship building skills and working with cross-functional partners

· Ability to clearly communicate and exchange accurate information to perform essential duties

· Ability to work both individually and as a member of a team

· Superb verbal and written communication skills
