Executive Assistant to the President

We are seeking a highly professional, detail-oriented Executive Assistant to directly support the President of the company. This dynamic role is approximately 75% traditional Executive Assistant responsibilities (with a strong focus on complex calendar management, meeting coordination, and travel planning) and 25% Personal Assistant support. The ideal candidate will have extensive experience coordinating international travel, a strong sense of discretion, and the ability to proactively manage a wide range of administrative tasks in a fast-paced, high-demand environment.
Key Responsibilities:
- Provide high-level administrative support to the President, acting as a gatekeeper and liaison with internal and external stakeholders
- Manage complex, ever-changing calendars with a high degree of accuracy and attention to prioritization
- Organize and coordinate meetings, including scheduling, preparing materials, agendas, meeting rooms, and follow-ups
- Plan and book comprehensive international and domestic travel for the President and other C-suite executives, including flights, accommodations, ground transportation, visa requirements, itineraries, and expense reporting
- Prepare, draft, and ghostwrite professional and personal correspondence on behalf of the President
- Support the execution and coordination of corporate and professional events
- Handle a variety of personal assistant tasks such as personal scheduling, errands, reservations, gift purchasing, and other ad hoc support
- Coordinate facilities and office logistics (e.g., meeting room setup, meal orders, printing/copying, supply needs)
- Assist with special projects, including research, budget tracking, minute-taking, and internal reporting
- Provide cross-functional support to other departments or executives as needed
- Maintain strict confidentiality and demonstrate discretion in all interactions and communications
Qualifications:
- Bachelor’s degree or equivalent experience required
- 5 + years of experience as an Executive Assistant, with a proven track record of supporting C-level executives, preferably in a mid-to-large size corporate environment
- Demonstrated experience coordinating international travel and handling complex, multi-time-zone scheduling
- Exceptional written and verbal communication skills
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
- Strong organizational skills and attention to detail, with the ability to anticipate needs and manage multiple priorities simultaneously
- Demonstrated ability to work with discretion, tact, and a high degree of professionalism
- Flexible and responsive with a proactive, can-do attitude
Work Environment:
This is a hybrid role requiring a minimum of three days onsite per week, with flexibility depending on leadership needs and key business activities. Occasional travel may be required.
