Draft executive level correspondence; prepare letters, reports, minutes, proposals, expense reports, financial reports, presentations and other materials as requested.
Coordinate travel arrangements including booking airfare, hotel and transportation accommodations consistent with company policies and guidelines.
Maintain executives' electronic schedule to coordinate meeting times, conferences, travel arrangements and appointments.
Prepare executives for meetings, ensure that all documents are prepared in a timely and accurate manner.
Coordinate meeting logistics including providing discussion materials for all participants, facilitating room set-up and tear down and ensuring needed equipment is operating.
Answer telephone for the executives; take and distribute messages to appropriate personnel, respond to inquiries from clients, vendors and personnel within scope of expertise.
Maintain both electronic and physical file copies in an orderly and retrievable fashion.
Complete special projects including researching, collecting information and reporting findings.
