What You Will Do:

The Accounts Receivable Specialist reports directly to the Accounts Receivable Team Lead and supports the daily operations of the Accounts Receivable department. This role assists with maintaining accurate customer account records, coordinating collection efforts, posting customer payments, and responding to customer inquiries related to billing and payments.

The Accounts Receivable Specialist will spend a significant portion of the day communicating with customers via phone and email regarding outstanding balances and payment questions. This role requires strong organization, attention to detail, and professionalism when interacting with both customers and internal teams.

Key Responsibilities:

  • Manage and monitor customer accounts to support timely payment of outstanding invoices.
  • Contact customers via phone and email to follow up on past-due balances and payment inquiries.
  • Post customer payments to open invoices and reconcile bank statements daily.
  • Assist with reviewing and reconciling customer account activity to identify discrepancies or missing payments.
  • Help identify issues that may delay invoicing or payment and work with internal teams to resolve them.
  • Maintain accurate records of customer communications, contacts, payment activity, and collection efforts.
  • Assist customers with billing questions, payment application, and credit inquiries.
  • Build and maintain professional relationships with customers and internal departments.
  • Escalate unusual account issues or unresolved payment concerns to management when appropriate.
  • Support month-end activities such as reviewing accounts and assisting with reconciliation tasks.
  • Assist with journal entries or internal adjustments when necessary to ensure payments are applied correctly.
  • Participate in process improvement initiatives to help streamline AR processes and improve efficiency.
  • Provide coverage for internal and external customer inquiries during assigned working hours.
  • Perform other duties or projects as assigned.

Experience

  • 3-5 years of relevant experience
  • Associates degree
  • Experience with Netsuite or other ERP systems
  • 1 year experience with cash posting
