Event Planner

Reports to: Senior Director, Event Design and Management

Job Overview:
The Event Planner supports the planning, production, and execution of corporate events. Under the supervision of the Senior Director, this role irresponsible is for logistical coordination and preparing event timelines. Events represent a key marketing channel for OMNIA Partners and working alongside other business verticals to align event goals is a priority.

Support Event Logistics: Facilitate logistical aspects of internal and external meetings and tradeshows including pre-planning, assistance with onsite execution, post-event reconciliation, vendor operations, registration, exhibitor management and sourcing.
Vendor Coordination: Research, communicate, and build strong working relationships with internal and external stakeholders for services adhering to company standards.
Budget Tracking: Assist in tracking event budgets, managing expenses, and schedules under the guidance of the Senior Director, while ensuring adherence to all deadlines and budgets are met for best value in costs.
Communication Evaluation: Support internal departments to ensure alignment with organizational goals.
Contract Preparation: Compile information on potential vendors, services, rates and terms while preparing preliminary documents for review.
Event Metrics: Assist in preparing and gathering event data, feedback, and metrics in event recap reports for analysis to ensure continual program improvement.
Event Marketing and Promotions: Assist in driving events and marketing promotions through various channels, to maximize participation, engagement and lead follow-up.
Process Development: Design standardized processes for event planning tasks, logistics coordination to continuously refine processes to enhance productivity to adapt to new event requirements.
Design Creation: Assist in designing, writing, and distributing of content for event invitations, signage, websites, and presentations, collaborating with Senior Director, ensuring high-quality and consistent messaging across all materials.

Training/Skills/Experience: (Minimum relevant work experience for successful job performance.)
• 5+ years in corporate event management.
• Attention to detail in logistics, schedules and documentation.
• Clear communication and interpersonal skills.
• Ability to follow established processes.
• Excellent organization and time management skills for multiple events.
• Ability to work independently while under pressure and adapt to changing circumstances.
• Eagerness to learn and stay current with industry best practices.
• Proficient in Microsoft Office Suite 365
• Knowledge of event software, CVENT, On Arrival, and Salesforce.

Education Requirements:
• Bachelor’s degree in marketing, Hospitality, Communications, Business, or related field.
*This role will be based at our Franklin, TN office.
