The Work You'll Do:
The RFP Coordinator Latam will be responsible for managing, consolidating, and ensuring the quality of responses to RFPs across Latin America. This role brings efficiency and effectiveness in RFP management, ensuring compliance with client requirements, internal coordination, and timely delivery.
More specifically, you will:
- Collect, validate, consolidate, and organize documentation required for RFP responses (legal, financial, commercial, fiscal, administrative, technical, environmental) from several internal areas
- Ensure all submissions are accurate and compliant with client requirements and internal policies
- Coordinate with Sales, Legal, Finance, and Operations to gather inputs and approvals
- Track timelines and deliverables to ensure on-time submission of proposals
- Maintain a repository of up-to-date standard documents and certifications
- Support formatting, proofreading, and quality review of proposal documents
- Monitor tender portals and support registration or compliance updates
- Provide progress reports to Bid Manager and Sales Lead
- Fill customer's intranet for registration and follow-up
- Review RFP instructions and create a checklist of required documents
- Assign document requests to internal stakeholders and follow up for timely delivery
- Validate that all documents meet format, validity period, and notarization/legalization requirements if applicable
- Compile the final proposal package in the requested format (digital/physical)
- Keep templates and standard corporate information updated (company profile, references, financial statements, compliance docs)
- Coordinate internal reviews and approvals before submission
- Leverage AI-powered tools to streamline document management, automate repetitive tasks, and improve the quality and consistency of RFP responses
What We Need From You
- Bachelor's degree in Business Administration, International Business, or related field
- 2+ years of experience in proposal coordination, bids, procurement, or administrative support
- Excellent written and verbal communication skills in English and Spanish; required
- Technology and IT Services B2B experience is strongly preferred
- Strong organizational and time management skills
- AI interaction experience is desirable
- Experience implementing or utilizing AI-based proposal management solutions to enhance efficiency and response quality
- Detail-oriented with ability to ensure compliance with strict requirements
- Proficient in MS Office Suite, SharePoint, or proposal management software
- Team collaboration is critical. Emphasis on collaboration and influence
- Experience supporting complex enterprise software sales, with a deep understanding of solution selling methodologies
