Human Resource Function

  • Process 60-day background checks
  • Administer employee selective programs (Pet Care, Gift Cards, Metrolink administration backup …)
  • Processes Employee of the Quarter Awards and Employee of the Year awards
  • Process Terminations as applicable; ensure HR Manager has the applicable paperwork and final checks for the termed employees last day. Notify appropriate personnel.
  • Assist in the administration of the Onboarding System (Globally)
  • Assist in the Onboarding of new hires; includes I-9 validation and maintenance.
  • Assist in employee programs and company events.
  • Assist with annual 401k 5500 Audit
  • Assist in monthly COBRA detail to accounting department
  • Assist in monthly benefit billing backup
  • Process LATAM and CAD time off requests and monthly balance updates (including US)
  • Internal Absence Management System – assist employees and managers with accurate data tracking and adjustments as needed, including password administration
  • Administer Compliance Training System on an ongoing basis
  • Data entry of Exit Questionnaires and HR Interviews
  • Process tuition reimbursements

Payroll Administration Function

  • Timely and precise payroll processing; Backup for payroll
  • Manage & respond to HR Payroll inquires
  • Assists in making recommendations for the creation and revision of procedures to facilitate increased operational efficiency of the department.
  • Assist with any payroll related audits (Internal and any other general audits)
  • Process quarterly multiple worksite reports (as applicable) and annual BLS reporting
  • Process timecards on a semi-monthly basis
  • Process verification of employments

Office Administration

  • Strong communication skills required to respond to phone, voice mail and email inquiries received from employees about various HR programs, policies and procedures.
  • Provides clerical support such as composing, drafting and answering correspondence.
  • Provides administrative support to the Dir, Human Resources and Sr. Human Resources Specialist
  • Backup for receptionist, covering for opening/closing and breaks (as needed).
  • Conducts research on special projects which require independent judgment.
  • Management of personnel files
  • Core hours: 8am – 5pm
  • Will report to office twice a month

The base salary range for this role, across the US is $43,123 - $77,622. Your actual base pay within this range will be determined by your work location as well as skills, qualifications, experience, and relevant education/training. The range provided reflects only the base salary for the role and does not include benefits.
