The Role:
The Contract Management Support Officer plays a vital role within RWAV by ensuring the effective administration and management of contracts. This position is essential for maintaining compliance, optimising contract performance, and supporting the delivery of high-quality services to the community. Based in Melbourne CBD, this permanent, full-time role offers an opportunity to contribute to the organisation’s mission,
Responsibilities:
- Coordinate end-to-end grants and contract administration, ensuring compliance with guidelines and contracts.
- Undertake and support the assessment, administration and delivery of Grants and other support functions that RWAV administers.
- Efficiently maintain data entry and perform all associated administrative functions to ensure that all grants are delivered in accordance with agreed contracts, policies, procedures and time-frames.
- Manage and resolve customer and other stakeholder enquiries and provide guidance on grant processes
- ·Record all client contacts in an accurate and up-to-date fashion on the internal CRM and database systems and monitor and maintain data integrity across systems, e.g.(Salesforce, Xero).
- Support in preparation, payment processing and resolution of Grant payment queries
- ·Assisting with drafting contractual terms and conditions with guidance from the Contracts Manager.
- ·Prepare and analyse program reports, identify trends and provide insights
- ·Be part of the Grant Assessment review panels for appeals and disputes.
- ·Support the Contracts Officer- Grants with maintenance of Grant and Contract mailboxes to set KPIs and benchmarks.
- ·Following up with Grant recipients for outstanding compliance documents as part of RWAV funding requirements.
- · Assist the finance department by entering relevant financial data into Xero accurately and promptly.
- ·Quality improvement, review and development of grant programs
- ·Other duties as directed in accordance with the priorities of RWAV or the activity work plans for funded programs.
Selection Criteria:
- Highly developed administration skills, including the capacity to set goals and manage processes.
- Experience in contract management or administration, preferably within the healthcare or related sectors.
- Strong organisational skills with the ability to manage multiple tasks and deadlines.
- Excellent communication and interpersonal skills, with a focus on collaboration.
- Proficient level computing skills and experience maintaining data integrity within CRM and financial systems.
- Ability to prepare and analyse reports, identify trends and provide insights’
- Ability to interpret guidelines, policies or contracts and apply them in decision-making.
- Attention to detail and a commitment to maintaining high standards of accuracy.
