The Cliffs Notes

The Executive Assistant reports primarily to the CEO and CFO, providing additional support to executive team members, as directed, to help ensure that company goals and objectives are accomplished and that operations run efficiently. A successful candidate proactively maintains and refines internal processes that support the CEO’s staff, and coordinates internal and external resources to help the executive leadership team (ELT) scale. The Executive Assistant manages communications and scheduling between internal and external team members to help maintain urgency and optimize use of time.

Additionally, the Executive Assistant will be responsible for ensuring the smooth and secure operation of Kinective’s office in Gilbert, AZ, and supporting various operational tasks across the organization.

What You’ll Own

Executive Assistance

  • Manage professional and personal scheduling for the CEO and CFO, including agendas, mail, email, phone calls, client management, and other company logistics
  • Coordinate complex scheduling and calendar management, as well as content and flow of information to senior executives
  • Manage senior executives’ travel logistics and activities, including accommodations, transportation, and meals
  • Performing expense and budget management duties, including all expense management for the CEO and CFO
  • Manage collection and preparation of Company All-Hands slides; ensure information is proofed and presentation ready on a timely basis
  • Maintain professionalism and strict confidentiality with all information and materials
  • Organize team communications and plan events, both internal and off-site

Office Management

  • Use top-class customer service skills to welcome Kinective guests with a personable experience and ensure office remains a secure environment
  • Manage several administrative tasks including mail-retrieval and distribution
  • Maintain seamless peak operations for the organization and implement preventive measures for potential issues
  • Identify needs and acquire supplies, manage vendor relationships, and coordinate food and snack deliveries

Requirements

What you’re great at:

  • Excellent written and verbal communication skills
  • Strong sense of urgency in driving important matters
  • Proactively manage scheduling conflicts and offer solutions to issues vs. asking questions
  • Self-directed; anticipate areas where help will be needed and jump in to increase ELT time efficiency without having to be asked
  • Outstanding time-management and people skills and an ability to independently organize and coordinate multiple concurrent projects
  • Proficiency with office productivity tools and an aptitude for learning new software and systems
  • Flexible team player, willing to adapt to changes and unafraid of challenges
  • Ability to maintain confidentiality of information related to the company and its employees

Necessary Qualifications

  • 3+ years of experience in an administrative role reporting directly to upper management
  • 2+ years of experience in office management
  • Associate’s degree or higher in business administration or other related field (preferred)
  • Ability to quickly understand and adapt to Executive preferences and proactively problem-solve when any issues arise
  • Ability to travel on occasion

The Team

In this role, you would be a part of the Executive team and reporting directly to our CEO and indirectly to our CFO.

Office Expectation

This role is HYBRID, with an expectation of 3-4 days a week in-office. Our hours are 8-5pm. Flexibility required to work outside normal office hours when the occasional need arises (eg. Annual in-person Board meeting).
